Who we are

Workweek Ops is a small business reporting service based in Ohio, USA. We prepare Excel reporting packs for small businesses using data they choose to share with us. This policy explains what information we collect, how we use it, how we protect it, and when we delete it. Questions about this policy can be sent through the contact form on our homepage.

Information we collect

Contact form enquiries. When you use our contact form we collect your name, email address, business name and your message. The form sends your enquiry to our business email inbox, and our form plugin may also keep a copy on our website.

Business data you send for reporting. If you become a customer, you may send us Excel or CSV exports such as sales transactions, product lists, customer lists, cost data and inventory snapshots. We only ask for the data needed for the agreed report.

Basic website data. Like most websites, our hosting provider records standard technical information such as IP address, browser type and pages visited, for security and to keep the site running. Our website uses a cookie notice and essential cookies needed for the site to work.

How we use your information

• To reply to your enquiry and send you a sample or quote by email.
• To prepare, check and deliver the reports you have asked for.
• To send invoices and keep basic business records.
• To keep the website secure and working.

We do not sell, rent or trade your personal information or your business data. We do not use customer business data for marketing, and we never share one customer’s data with another customer.

How we handle your business files

Customer business data is treated as confidential and used only for the reporting work you have agreed to.

• Before transfer: we agree a secure transfer method with you by email before you send any real business data. Please do not send financial or customer files through the website contact form.
• Minimum data: we ask only for the fields needed for your report. Where possible, remove personal details you don’t need us to see (for example customer contact details or payment card information).
• Storage and access: files are kept in password-protected accounts and devices with two-step verification switched on, and are accessed only by Workweek Ops for your work. No one else is given access.
• Retention: for one-time reports, your source files are deleted within 30 days of final delivery. For monthly reporting, files are kept while the service continues and deleted within 30 days of it ending. You can ask us to delete your files sooner at any time.
• Delivered reports: we keep a copy of the reports we deliver for our business records unless you ask us to delete it.

Service providers we use

We use a small number of trusted providers to run our business: our website host and domain provider (Namecheap), our email provider (currently Google), and Microsoft Excel for preparing reports. These providers process data on our behalf under their own security and privacy terms. Links on our site to Etsy and Amazon take you to those companies’ websites, which have their own privacy policies.

Your choices and rights

You can ask us at any time to see, correct or delete the personal information we hold about you, or to delete your business files. Send your request through the contact form on our homepage and we will respond by email. Depending on where you live, you may have additional rights under your state’s privacy laws.

Security

We take reasonable steps to protect your information, including password-protected accounts, two-step verification and limiting access to the work it is needed for. No method of storing or sending data online is completely secure, so we cannot guarantee absolute security.

Children

Our services are for businesses and are not directed to children under 13. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. The effective date at the top of this page shows when it was last changed.
